Enrollment Stages

Enrollment:  This is for anyone that’s in the enrollment process, but hasn’t received approval to be enrolled.  The Enrollment Stage consist of the following enrollment statuses: 

  • Enrollment in Progress
  • Academic Hold
  • Financial Hold
  • Mid-Year Withdrawal
  • Not Enrolling
  • Any custom statuses requested (read below for more information)

Enrolled:  Anyone that completed all required items on their enrollment checklist.  The Enrolled Stage consists of the following enrollment statuses:

Enrollment Type:  New vs Returning

Business rules for checklist items and fee rules can be driven off the enrollment type (New vs Returning) so that schools can target different communications to the different groups.

  • New Student:  When a student is manually transitioned from an Admissions status to Enrollment in Progress for the first time.
  • Returning Student:  When an existing enrolled student is moved to the next grade via the Roll-over bulk tool, their status is moved to Enrollment in Progress and their type is set to “Returning.”

Statuses

Custom Enrollment Statuses
If your school would like a custom enrollment status to indicate different reasons for students that are not enrolling or returning for example, please contact the Support team!  Custom status counts will still be included in the respective stages that they are assigned to (Enrollment or Enrolled) within the Admissions Funnel and Admissions Report, however, they will not be displayed within the Enrollment Report. The Enrollment Report only includes system default statuses, however, custom summary reports can be created within the Search and Reports page using custom statuses. These statuses are admin-facing only and do not display in the Parent Portal.  

  • Enrollment in Progress: A contact or student enters this status via a manual status change (either in bulk or individually).  For new students, this process begins in the Admissions List Page for a bulk status change from Application Complete or Accepted to Enrollment in Progress. When contacts are manually transitioned from Admissions to Enrollment in Progress for the first time, their enrollment type is set to NEW.  For returning students, this is a manual status change done in bulk within the Enrollment List Page --> Enrolled Students page via the Rollover button in the Edit menu.  When existing students are moved to the next grade via the Roll-over bulk tool, their status is moved to Enrollment in Progress and their enrollment type is set to RETURNING.   
  • Academic Hold: A student that gets placed on academic hold for that year.  This is a manual status change by an admin.  The parent will not be able to access and complete the enrollment contract and checklist.  The checklist will say “Account is on hold; please contact us for details.”  The type of hold isn’t displayed for parents.
  • Financial Hold: A student that gets placed on financial hold for that year.  This is a manual status change by the admin. The parent will not be able to access and complete the enrollment contract and checklist.  The checklist will say “Account is on hold; please contact us for details.”  The type of hold isn’t displayed for parents.
  • Mid Year Withdrawal: A student that decided to withdraw in the middle of the year.  This is a manual status change by the admin. 
  • Not Enrolling: Students who are not returning for the next school year or who did not enroll during the enrollment window.  This is a manual status change by the admin. 
  • Enrolled: A student that completed all required items on their enrollment checklist.  This status change happens automatically once the last required checklist item is marked compete.
  • Custom Statuses: These statuses are set manually by the admin.
