School's use a variety of tools to capture experiences that happen on campus.  One of these tools is Vidigami, a private social platform for teachers, students and families to intelligently organize and share photos and videos from school.  Vidigami content ties in nicely with SchoolAdmin communications and Parent Portal content to personalize touch points even further for recruitment and to maintain relationships for retention.

  • Your students created thousands of memories during the school year.  Each year, you invite families to return during the re-enrollment process.  This is a great opportunity to share photos with current families to remind them of the deep bond they have with your school and the community.  

How to Add Vidigami to Emails

There are multiple variations on adding content into an email.  We suggest getting started with the basics and then expanding from there.  


  • Automated communications for inquiries based on interest.

  • Personalized link within a re-enrollment invite.

IMPORTANT NOTE: Email clients do not support embedded content or video, therefore, a text link can be used to link external content. 

To add a link to a Vidigami set in an email in SchoolAdmin: 

  1. Go to Settings-->Communication-->Email templates.

  2. Type out your message in a new or existing template, and highlight the word you want to hyperlink.

  3. Click the link icon as noted by the chainlink (shown below), or type ⌘K if using a Mac.

  4. Take the direct link (not the embed link) for the Vidigami set and paste it here (see example below). Check the 'Open in new tab' checkbox and click 'Insert.'

  5. Save the email template.

  6. Send yourself a test email.

Create an email template for the different interests or topics that you’d like to highlight.  Next, follow the instructions for creating Automated Communication Plans in SchoolAdmin.

Personalized libraries of photos can be used to highlight a child's participation at an event, a collection of memories from the entire school year, or you can personalize acceptance decisions for your applicants. 

  1. Work with SchoolAdmin Support to have a custom text field created in your site to capture a personalized link for each child in your funnel.  Make sure this field is displayed in the appropriate contact record so you can paste in a link. Click here to learn how. An example of this field name is:  vidigami_email_link

  2. Go to Settings-->Communication-->Email templates.

  3. Type out your message in a new or existing template, and highlight the word you want to hyperlink.

  4. Click the link icon as noted by the chainlink, or type ⌘K if using a Mac.

  5. Instead of entering a link URL, type the name of the merge token here including the double brackets.  For example: {{contact.vidigami_email_link}}.  Note: You can locate the merge token within the drop down menu's of the email editor within the contact category and the name of the custom field.  Click 'insert' and then cut and paste the merge token into the hyperlink area. Check the 'Open in new tab' checkbox and click 'Insert.'

  6. Save the email template.

  1. Go to the student’s record and find the field you created in the appropriate tab.  

  2. Click on 'Edit Fields' and then paste the direct URL (not the embed link) for the Vidigami set and click 'insert' or 'update' if you changed a previous link.  Then 'save' the email template.

  3. Send yourself a test email. 

IMPORTANT:  If you do not enter anything into the Student’s record, the link will not work as it will pull in blank information.  One way to prevent sending a blank link is to wrap the text with a Liquid statement that will only display the text in the email if there is a link present. You can work with SchoolAdmin Support for assistance in creating this statement.
