Information Based Messages

Enrollment Checklist Reminders. This communication is for enrolling families that have not yet completed all required items on their checklist to remind them of the deadline.  It can be sent on multiple dates using multiple communication plans.  For example, the first reminder email can go out 4 weeks before the deadline, a second reminder email can go out 2 weeks before the deadline and a third and final reminder email can go out a week before the deadline.  The final email template may be different than the first two or you can use the same one.

  • Set the trigger to be a status of 'Enrollment in Progress.'
  • Set an email to go out 'N days after trigger' with a specific date. 
  • Specify the time you would like the email to be sent. 
  • Select the email recipients and select an email template for 'Enrollment Checklist Reminder.' Note: We provide schools with this template for Admissions.  You can copy this template to create an enrollment specific email, but make sure you replace the admissions checklist merge field with the enrollment checklist merge field.  The merge field that brings in the checklist is under Contact --> Enrollment Checklist. As a best practice, make sure you customize the template with your brand and voice as well. 
  • Click 'Save.' 
  • Repeat this for additional dates you want the email to go out and anyone that became an enrolled status after the first reminder email went out will not receive any remaining notifications.

Email to parents to create an account in their SIS upon contract submission. 

  • Set the trigger to be a completed checklist item of 'Contract/Registration Form.'
  • Set an email to go out 'N days after trigger' with 'Immediately.'
  • Select the email recipients and select an email template that includes any relevant instructions/requirements.
  • Click 'Save.'

Email to parents when all enrollment requirements are complete.
This email informs parents that all requirements have been met.  You can include a link to a school calendar or any other relevant next steps.

  • Set the trigger to be a status of 'Enrolled.'
  • Set an email to go out 'N days after trigger' with 'Immediately.'
  • Select the email recipients and select your 'Enrollment Complete' email template that you created. 
  • Click 'Save.'

Email to parents that aren't re-enrolling with a survey link.
If your enrollment checklist has a simple online "Intent to Enroll" form, you can use this field to trigger an automated communication plan to collect more information.  Another option is to ask this information in the form itself, depending on your team's preference.

  • Set the trigger to be a status of 'enrollment in progress.'
  • Set additional criteria to be 'enroll intent contains no.'
  • Set the email recipients and select the email template with the anonymous survey link to request more information.
  • Click 'Save.'

Internal reminder to change the status of a kid that isn't enrolling. If your enrollment checklist has a simple online "Intent to Enroll" form, you can use this field to trigger an automated communication plan to notify you of a status change. 

  • Set the trigger to be a status of 'enrollment in progress.'
  • Set additional criteria to be 'enroll intent contains no.'
  • Set a reminder and the reminder assignment. Then set the reminder text to change the status to  not enrolling, declined offer, or any other relevant status. 
  • Click 'Save.'

Interest Based Messages

Invite email or reminder email for a New Student event night.

  • Set the trigger to be a completed checklist item of 'Contract.' You can also use a status here, but if you want flexibility in sending an invite for kids that are enrollment in progress or enrolled, then it's best to use a checklist item instead since you can only set one status as the trigger.
  • Set an email to go out 'N days after trigger' with a specific date before the event.
  • Specify the time you would like the email to be sent. 
  • Select the email recipients and select the event invite email template
  • Click 'Save.'
